Job Description:

The Purchasing Director will be responsible for executing and leading the day-to-day procurement activities; Responsibilities include managing the buyers, training new hires, identifying and developing suppliers that are qualified to meet all applicable quality, price and lead time requirements in a manufacturing environment and working with other managers to develop enhanced processes and procedures to improve the department's overall performance level. Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Responsible for procurement of required inventory levels of raw materials, supplies, and packaging goods for kombucha manufacturing and all new product development.
  • Manage and execute the objectives of improving quality, cost, and delivery performance. This process includes planning, purchasing, raw material expediting, inventory control and documentation/data. It also includes the review and approval of all purchase orders with the specific financial threshold.
  • Research, recruit, retain suppliers and alternate suppliers that provide high quality products and services at a favorable purchase price, while maintaining the highest code of ethics and conduct. Negotiates or supervises the negotiation of raw materials, supplies, and services. Identify and present to the business the best product solution with all supporting details that will deliver best supplier selection per product.
  • Ensure supply continuance and develop inventory shortage preventative measure. Closely monitor inventory levels to ensure fulfillment of customer orders and prevent unnecessary production costs. Address any usage deviations to the team for bill of materials (BOM) realignment. Research usage discrepancies against plan and address issues for inventory realignment.
  • Develop a system to evaluate vendor quotations that utilizes appropriate negotiation and purchasing techniques to ensure quality, price, delivery, service and seek new supply or product improvement opportunities. Evaluate, Negotiate and Finalize all necessary material contracts, bids, or proposals with suppliers. Review vendor agreements for legal correctness, price, and acceptability aligned with product specifications. Monitor contracts throughout the year and maintain control of negotiation calendars. Create and/or maintain a contract library file for reference.
  • Designs, implements, manages, and monitors procurement reporting systems to meet company requirements. Identify needs, utilize available resources, and seek completion of any reporting tools that will improve efficiencies. Validate and explain variance reports. Analyze plan vs usage, identify deviations and address to the team for resolution. Track pricing variations and provide data for system update and accuracy calculation of costs of goods sold.
  • Analyzes market and delivery conditions to determine present and future material availability. Oversees all activities related to procurement of a commodity, from intent to purchase through delivery of commodity.
  • Develop and maintain KPI's for inventory replenishment, service, capacity utilization, and schedule attainment. Develop alternatives for shortage of materials. Review planning files with buyers weekly to monitor efficiency of purchasing practices. Coordinate the creation of purchase orders for other departments (not materials related) and route to designated management team for approval and submission. Prepare instructions regarding purchasing systems and procedures. Create Standard Operating Procedures (SPOs) for department processes.
  • Manage Purchasing team and delegate responsibilities to support all areas of the business. Ensure that new account applications are processed timely and new items set up are requested and completed timely. Train, develop and manage procurement team staff. Audit staff timecards and expense reports and approve timely to ensure on-time processing by Human Resources.
  • Manage materials planned for discontinuation to minimize or prevent obsolescence. Coordinate product disposition with Inventory & Quality Directors. Oversee that inventory in the system is correct to ensure accurate replenishment process.
  • Manage product quality issues communication with suppliers and coordinate all necessary functions across all departments to ensure resolution. This will include quality alignment with vendors, product returns or disposition, inventory transactions and corresponding accounting actions.
  • Partner with R&D team on product development initiatives. Secure necessary samples, as well as all required documentation to support product evaluation. Manage Vendor approval process with the R&D and Quality Control team before initiating the purchase of any new materials and ensure sourcing of materials meet all required specifications. Coordinate details of final product design before initial purchase.
  • Interface with Shipping and Receiving to prepare and audit shipments, track vendor performance, and identify problems/issues. Qualifications:
    • Bachelor's degree
    • 8-10 years related experience in manufacturing industry
    • Ability to read, analyze, and interpret common financial reports, and legal documents
    • Displays willingness to make decisions
    • Develops strategies to achieve organizational goals
    • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
    • Great communication skills, expresses ideas and thoughts verbally
    • Ability to work well with cross-functional partners
